Privacy Policy

About this policy

This policy explains how personal information is collected and used through the Suzuki Jimny Gathering website, and the rights you have over that information. It is written to meet the requirements of South Africa’s Protection of Personal Information Act 4 of 2013 (POPIA).

The responsible party for the personal information described here is Easy Agency (Pty) Ltd (registration number 2016/479993/07), the organiser of the Suzuki Jimny Gathering, of 69 Thomas Edison Street, Menlo Park, Pretoria, 0081, South Africa (VAT number 4140263262).

Our Information Officer is Willem Nicholas van der Schyf, who can be reached at Willie@easyagency.co.za.

In this policy, “personal information” has the meaning given to it in POPIA, and “we”, “us” and “our” refer to the responsible party named above.

Information we collect

Information you give us. When you complete the contact form on this site, we collect your name, surname, email address, contact number, province and city, details about whether you own or drive a Suzuki Jimny and which model, whether you attended a previous Gathering, the type of camper you are, which events you plan to attend, and your marketing preferences. When you subscribe to updates in the website footer, we collect your first name, surname and email address. If you buy merchandise from our online shop, we collect your billing and delivery details and your order history.

Information collected automatically. When you visit the site we automatically receive your IP address, approximate location derived from it, browser and device type, operating system, referring website, the pages you view, and the dates and times of your visit. This is collected through cookies and similar technologies described below.

We do not knowingly collect special personal information as defined in section 26 of POPIA, and we ask that you do not send it to us through this website.

How we use your information

We use the information we collect to respond to your enquiries; to register and manage your attendance at the Jimny Gathering and related events; to process and deliver merchandise orders; to send you event updates and marketing where you have asked to receive them; to understand how the website is used so that we can improve it; and to meet our legal and regulatory obligations.

We process your information on the bases permitted by section 11 of POPIA, most commonly your consent, the performance of a contract with you (such as an order or a booking), our legitimate interests in running the event and the website, and compliance with the law.

Cookies and similar technologies

Cookies are small files placed on your device. This website sets the following:

  • Google Analytics (_ga, _gid, _ga_C748CB177W, _ga_0GQKZ6V6L1, _gat_gtag_UA_254847908_1) – measure how the site is used. The _ga cookies last up to 13 months; the others expire within a day.
  • Google Tag Manager (container GTM-W3RFGWND) – loads and manages the tags above.
  • WooCommerce order attribution (sbjs_*) – records how a shopper reached the site. These last for the browsing session.
  • HubSpot (__cf_bm) – set by HubSpot’s provider on pages carrying our contact form, to distinguish people from automated traffic.
  • WooCommerce and WordPress – functional cookies that remember your cart and keep you signed in if you have an account.

You can block or delete cookies in your browser settings. If you block functional cookies, parts of the shop and the forms may stop working. You can opt out of Google Analytics across all websites using Google’s browser add-on at tools.google.com/dlpage/gaoptout.

Who we share your information with

We do not sell your personal information. We share it with the service providers who operate parts of this site and our event on our behalf, each of which processes it only for that purpose:

  • Google (Analytics, Tag Manager, Fonts and Maps) – website measurement, typefaces and the venue map.
  • HubSpot – hosts and stores submissions from our contact form.
  • MailerLite – manages our mailing list and sends our newsletters.
  • Howler – sells and manages tickets for the Gathering. When you follow a ticket link you leave this site and Howler’s own privacy policy applies.
  • Yoco – processes card payments for online shop orders. We do not receive or store your full card details.
  • Meta Platforms – supplies the Instagram feed shown on our home page.
  • Our hosting, email and website maintenance providers, including Digital Fold, who maintain this website.

We may also disclose personal information where the law requires it, or to establish, exercise or defend a legal claim.

Information sent outside South Africa

Several of the providers above, including Google, HubSpot, MailerLite and Meta, store and process information on servers outside South Africa. Where that happens we rely on section 72 of POPIA: the recipient is subject to binding agreements or laws that give your information a level of protection substantially similar to POPIA, or the transfer is necessary to perform a contract with you or is made with your consent.

Direct marketing

We will only send you electronic marketing about the Jimny Gathering where you have asked us to, or where you are an existing customer and the marketing relates to similar products and events. Every marketing email contains an unsubscribe link, and you can also ask us to stop at any time using the contact details below. Section 69 of POPIA gives you the right to object to direct marketing, and we will act on that objection without charge.

How long we keep your information

We keep personal information only for as long as we need it for the purpose it was collected, or for as long as the law requires:

  • Contact form enquiries – 12 months after the event they relate to.
  • Event registrations – 12 months after the end of the event cycle.
  • Merchandise order records – 5 years, as required by South African tax law.
  • Mailing list entries – until you unsubscribe.

Once a period ends, the information is deleted or de-identified.

How we protect your information

The website is served over an encrypted HTTPS connection, access to the systems holding personal information is restricted to people who need it, and our service providers are contractually required to keep the information secure. As section 19 of POPIA requires, we maintain reasonable technical and organisational safeguards. No website can be guaranteed completely secure, and if a security compromise affects your personal information we will notify you and the Information Regulator as section 22 requires.

Your rights

Under POPIA you have the right to:

  • ask whether we hold personal information about you, and to request a copy of it (sections 23 and 24);
  • ask us to correct or delete information that is inaccurate, irrelevant, excessive, out of date, incomplete, misleading or obtained unlawfully;
  • object to our processing of your information on reasonable grounds (section 11(3));
  • withdraw consent you have given, which does not affect processing that happened before you withdrew it;
  • object to direct marketing at any time; and
  • complain to the Information Regulator.

To exercise any of these rights, contact us using the details below. We may ask you to verify your identity first. Requests for access are dealt with under the Promotion of Access to Information Act, and a prescribed fee may apply.

Lodging a complaint

If you are not satisfied with how we have handled your personal information, you may complain to the Information Regulator of South Africa:

If you believe a child has given us personal information, please contact us and we will delete it.
